From 1 July 2024 use of KSeF will be mandatory. This means a fundamental shift in how all traders will be issuing their invoices. Inevitably, traders will have to prepare for operating within the new system. Given the far-reaching impact of this transition, it is advisable to start preparing for its implementation without delay to ensure your business complies with all the KSeF requirements and that it does so in a timely and effective manner.

Before we meet your team responsible for implementing KSeF, we will send you a questionnaire which will help us gather key information so that we could assist you further. Having developed an understanding of your business in this regard, we will be able to use the time during out meeting more effectively. The meeting will cover:
✔ new invoicing rules under KSeF,
✔ scope of transactions the company undertakes,
✔ current invoicing procedure (purchases / sales) and the level of digitalization in your business, staff involved in invoice data processing including data sources (IT systems),
✔ your answers in our questionnaire,
✔ your company’s business requirements regarding structured invoicing, scope of future implementation works reflecting such requirements (rather than just the new rules),
✔ key areas that will be described in the red flag report.
We will consider KSeF from the IT perspective, discuss the main requirements and our recommendations following from our current experience of implementing similar reporting tools, and present a hypothetical IT solution.
Our assistance will be provided by tax, business consulting and IT experts.
Deliverables
After the workshop, we will share with you the information and materials that will help you make further adjustments to KSeF:
✔ red flag report – general action plan which will be instrumental in implementing KSeF in your business along with our recommendations as to further steps (business, tax and IT advice),
✔ training materials (presentation of the problem)
✔ start-up KSeF package (necessary technical documentation, KSeF areas map).
The first step in the pre-implementation analysis is a meeting to present KSeF and the new invoicing rules. To help us prepare for a detailed analysis we will ask you to complete a questionnaire seeking information on your tax, business and IT procedures which will be necessary in carrying out further steps.
During our meetings with you, we will:
✔ analyse source documents for compliance with schema requirements,
✔ discuss the scope of transactions the company is involved in,
✔ define your company’s business requirements as to structured invoicing, the scope of future implementation works reflecting your company’s needs (rather than just the new rules),
✔ map your current business processes (purchases and sales) and recommend relevant KSeF adaptation works,
✔ discuss wider benefits of structured invoicing, identify areas suitable for automation,
✔ complete the schema on the basis of current processes in place in the company and data in source systems, and identify any shortcomings that ought to be addressed for completeness of the schema.

✔ report on any system shortcomings – analysis including a detailed description of the processes identified and the types of invoice issued by the company; we will make recommendations regarding process modification and the level of data required to comply with the existing rules, in particular for the purposes of KSeF alignment,
✔ complete schema developed in cooperation with your company and in line with its needs.

✔ analysis of the verification and authorization system used (against the authorization model built into KSeF)
✔ Analysis of system expansion potential with a view to aligning it with the KSeF integration requirements including: scope of the new data, scope of the new authorization rights, scope of required data validation in compliance with the schema, modification of existing system interfaces.
